What Is an RFP?

An RFP (Request for Proposal) is a formal request you send to hotels asking them to provide group rates for your event or stay. Instead of calling hotels one by one and negotiating individually, groupRooms lets you submit one RFP that goes to multiple hotels simultaneously.

Why RFPs Get Better Rates

When hotels receive an RFP, they know you are a serious buyer comparing multiple options. This creates competition between hotels, which drives rates down. Hotels also know that group bookings fill rooms that might otherwise sit empty, so they have an incentive to offer competitive pricing.

What Makes a Good RFP?

A good RFP includes:

  • Specific dates and destination
  • Accurate room count and types
  • Event type and special requirements
  • Realistic budget expectations
  • Decision timeline

The more complete your RFP, the more accurate and competitive the responses will be.
