The window: five days, four nights
The NCAA Division II Men's and Women's Swimming and Diving Championships run March 9 to March 13, 2027 at the IU Natatorium in Indianapolis. March 9 is a Tuesday and March 13 is a Saturday. A Tuesday arrival with a Saturday release is four nights, March 9 through March 12, with checkout on the morning of the 13th.
The field is capped at 380 participants. The NCAA's 2026-27 important updates break that down as 205 women, made up of 183 swimmers and 22 divers, and 175 men, made up of 157 swimmers and 18 divers. Every invited swimmer and diver counts toward the 380 total.
The meet runs preliminaries and finals in swimming alongside diving competition, with team and individual champions decided on cumulative points. Swimmers and divers are on deck from morning prelims through evening finals on each of the five days, and a team block follows the competition calendar.
No 2027 team hotel list is published
The NCAA championship page carries a Championships Team Hotel Options link, and the only document behind it is the 2025-26 list for Evansville, Indiana. No Indianapolis list, rate or cut-off exists for March 2027. More detail arrives with the prechampionships manual, which the NCAA says will post on ncaa.org by mid-November.
The Evansville document shows the shape a team can expect. It named seven team hotels with double/double rates from $115 to $159 and a 15 percent tax. It set one shared reservation cut-off of Monday, March 2, 2026 at 5:00 p.m. local time, six days before the March 8 arrival. Most properties offered complimentary hot breakfast, complimentary wireless internet, free self and bus parking, one complimentary room night for every 25 room nights paid, and meeting space at no charge based on availability. Each team carried its own room, tax and incidental charges, with the payment method set at reservation.
Two lessons carry across from that list. One shared cut-off across seven properties is normal for this championship, and a six-day runway before arrival is short. A 2027 block built without a written date takes whatever the first property offers.
Setting the cut-off yourself
The team or its travel coordinator sets the cut-off for 2027. Blocks, a room-block software vendor, describes the clause structure in its guides: a written cut-off date, a pickup floor measured at performance, rolling release dates at 90, 60 and 30 days out, a resell credit and a force majeure term. Work the cut-off date backwards from arrival. A March 9 arrival puts a 90-day release in early December, a 60-day release in early January and a 30-day release in early February.
The convention centre's 2027 calendar carries Work Truck Week from March 9 to March 12. The month's citywide demand therefore overlaps the meet, and a hotel pricing the window has that event in view when it reads the release dates.
Sizing attrition to a roster that is not final
Qualification lists post late, and entries are not final until the NCAA publishes them. A block signed before that date carries a roster the team cannot yet count. Attrition is where that risk lands. Vendor guidance measures the floor on cumulative room nights against arrival, at 80 percent or below, with damages net of the hotel's saved costs and credit for resold rooms.
Work an illustrative hold. Take 40 rooms on each of four nights, which commits 160 room nights. An 80 percent floor sets the obligation at 128. If the team picks up 30 rooms on every night, that is 120 room nights and a shortfall of eight against the floor.
Then test the measuring stick, because a four-night stay is not flat. Let the team fill 40 rooms on the first two nights and 15 on each of the last two. The cumulative count is 110 room nights, which is 18 short of the floor. A per-night floor of 32 rooms reads 17 rooms short on each of the last two nights, which is 34 room nights short. At the guide's illustrative rate of $189, the same hold carries $3,402 under one measure and $6,426 under the other.
Divers travel in smaller groups than swimmers, and a diving roster can qualify on scores submitted through DiveMeets rather than on a team entry. A block built on last season's headcount therefore starts from a number the qualification lists will move in both directions.
Where the team rooms sit
The Indiana Convention Center's downtown fact block lists 7,100 hotel rooms, 4,700 connected to the centre by skywalk, 200 downtown restaurants within walking distance and 15 minutes to the airport. The venue also states that more than half of downtown's 7,100+ rooms sit within blocks of the Indiana Convention Center and Lucas Oil Stadium.
Skywalk hours matter for a meet that starts with morning preliminaries. The convention centre publishes a lock down at approximately 11:00 p.m. and a re-opening at approximately 6:00 a.m., both event-dependent.
The groupRooms.org directory lists 273 hotels in Indianapolis, and the platform states that it sends one request to 50 or more properties at once across 46 states. Aloft at 136 East Market Street is the first downtown entry the directory lists. The platform also states that it covers 46 U.S. states with 103,857+ properties. Those figures are the company's own claims.
Questions to put to the hotel
Ask for one rate across all four nights and confirmation that it holds on each night separately. Ask for the cut-off as a calendar date, the method used to measure attrition, and review dates at 90, 60 and 30 days. Ask whether rooms can be handed back as qualification lists post, and whether a Monday arrival on March 8 is priced as a fifth night for teams that travel in early. Ask about bus parking, meeting space for team sessions, and the complimentary room ratio, because the Evansville list published one free room night per 25 paid.
