The Christmas Gift + Hobby Show publishes a hotel list and a group code. It publishes no room block. A group travelling to the 77th annual show at the Indiana State Fairgrounds books direct with a property or through a rental company, and every block term is negotiated at that moment.
The show runs November 11 to 15, 2026 at the Indiana State Fairgrounds & Event Center, in the West Pavilion through the North Entrance only. The street address is 1202 E 38th St., Indianapolis, IN 46205. Organiser copy credits 375 vendors and more than 45,000 shoppers.
There is no housing bureau, no reservation portal and no contracted allotment. The show page carries a list of five area hotels, one discount code, a second code from a local rental company, and the fairgrounds campground.
The Four Nights a Five-Day Run Needs
November 11 is a Wednesday and November 15 is a Sunday. A Wednesday arrival with a Sunday departure spans four nights, November 11 through 14, with checkout on the 15th.
Show hours bend the group toward the front of the week. Wednesday and Thursday run 10:00 a.m. to 7:00 p.m., Friday and Saturday 10:00 a.m. to 8:00 p.m., and Sunday 10:00 a.m. to 5:00 p.m. Friday, November 13 and Saturday, November 14 are the two weekend nights in the block. Those two nights carry the local leisure demand, so they are the nights to confirm first.
The Group Code and the Five Named Properties
The show names five hotels. Hampton Inn & Suites by Hilton at 8980 River Crossing Blvd., Indianapolis, IN 46240 publishes the phone number 317.706.7500, the group code HOB and a stated 20 percent discount. The other four are Comfort Inn East Indy at 2295 N. Shadeland, Staybridge Suites Indianapolis-Fishers by IHG at 9780 Crosspoint Blvd., Candlewood Suites Indianapolis NE at 8111 Bash Street, and Hampton Inn NE Castleton at 6817 East 82nd Street.
Lazy Sunday Rentals is described on the page as a local, women-owned Indianapolis vacation rental company. It offers homes with full kitchens, workspaces and free parking, with a 10 percent saving for direct bookings under the code LAZYINDYCHRISTMASSHOW.
The Campground at $30 a Night
The fairgrounds campground is the option the show lists under other accommodations. The published rate is $30 plus tax per day with hook-up and $20 plus tax without. The amenity list reads year-round camping, indoor showers and flush toilets, washers and dryers, electricity, sewer hook-ups, sanitary dumping stations and potable water. Contact is 317-927-7500.
The fairgrounds camping page sets the hook-up calendar. Full hook-up sites run April through October, electric-only hook-ups run November through March, and the dump station is closed across those months. The show falls in November, so the published hook-up line runs on electric only.
For a five-day show with an on-site crew, the campground removes four hotel nights and the parking charge from the budget. A site hold carries its own deposit and cancellation terms.
What the Minimum Hold Has to Cover
The show publishes no minimum, no cut-off, no attrition floor and no rate for any property. Those terms come from the hotel, and each one arrives with a different number attached.
The first question is the minimum hold a property will accept on each of the four nights. A small exhibitor group can hold twenty rooms on Wednesday and Thursday and watch Friday and Saturday firm up later, which leaves the block short exactly where the hotel expects demand. The second question is whether the minimum applies per night or across the stay, because a four-night total can pass while one weekend night fails.
Then ask for the cut-off date as a calendar date. Ask whether one date governs all four nights or whether the weekend nights cut off earlier. Ask what happens to unreleased rooms after that date, and whether the group rate survives for a late booker.
The Terms to Write Into the Contract
Room-block practice has a published description from the software vendor Blocks. The vendor's attrition guide sets a worked example on an 80 percent pickup floor, measured across the stay, and it describes a resell or mitigation credit for released rooms the hotel sells to other guests. It puts the alternative to a full-rate penalty at roughly 75 percent of the rate, on the reasoning that the hotel avoids housekeeping and other variable costs. It names review dates at 90, 60 and 30 days out for handing rooms back before the stay. It treats whole-block and per-night measurement as separate methods. Those are the vendor's descriptions of common practice.
On this block the weekend nights are the risk. Ask for a floor measured per night, or accept a cumulative floor only where the shoulders carry enough cushion to absorb a soft Saturday. Ask for release dates that let the group hand back rooms before the hotel loses the chance to resell them.
What to Ask Each Property
Put the same six questions to all five hotels. What is the minimum hold on each night of November 11 to 14? Is the cut-off one date or several? What is the attrition floor, and is it measured per night or across the stay? What are the release dates? Is the stated discount applied to the whole stay? And is parking included, given the fairgrounds charges $10.00 per day per car and runs no shuttle service?
The parking question carries weight. The show runs no shuttle at the fairgrounds, so every delegate drives and parks. A property that includes parking can beat a cheaper room rate across a four-night stay.
Submit one request through a platform that puts the properties in competition. Compare the offers on terms and on the total cost of the stay.
