The PRI Show publishes a rate band and two dates. Its pages print no attrition floor, no cut-off date and no rooming-list deadline. A group hold for the December 10 to 12 run is negotiated direct with a property through the show's housing partner.
The Published Band Is $161 to $299
The official hotel list runs 36 properties, and 35 of them print a rate. The band starts at $161.00 at the Holiday Inn Indianapolis Downtown and reaches $299.00 at the InterContinental Indianapolis.
Every rate is a starting room price in US dollars. The list states that nightly rates vary by room type and occupancy and that the rates exclude local sales and occupancy taxes.
Eleven properties carry the list's elevated-skywalk mark, which the list defines as a connection to the show at one to two blocks. The remaining properties sit between one and five blocks from the convention center.
October 16 and November 13
The exhibitor deadline calendar prints two hotel dates. October 16, 2026 is the hotel cancellation deadline to avoid a penalty. November 13, 2026 is the last day to book a room at the discounted PRI rate.

The same calendar dates the housing opening at June 9 at 10:00 a.m. Eastern and attendee registration at July 21. The hotel list repeats the November 13 line on its own page.
The Two-Night Shape
December 10 is a Thursday and December 12 is a Saturday. A Thursday arrival and a Saturday departure span two nights, December 10 and 11, with checkout on the 12th. The show runs those three days.
Both nights carry convention demand. The group has no soft night in the stay, and the block publishes no floor to measure a shortfall against.
What the Housing Partner Publishes
Visit Indy Housing is the only official housing partner for the PRI Show. The organiser warns that any other company claiming that role is not a housing provider.
The booking portal prints four booking terms. No deposit applies when the group books direct with PRI Housing. Every PRI room includes complimentary Wi-Fi. Loyalty points follow each property's own programme rules. Airport and Plainfield partner hotels offer complimentary shuttles and free guest parking.

The Terms to Settle in Writing
The record leaves five terms open, and each one carries a price.
Ask for the cancellation date and the fee inside each window. Ask whether the fee applies to the whole block or to the rooms held. Ask whether a reduction in room count counts as a cancellation, because the two carry separate deadlines.
Ask for the cut-off date on the rooming list and the name of the person who receives it.
Ask whether the floor is measured per night or across the stay, and write the measurement into the contract.
Ask which release dates apply and whether an early release reduces the commitment.
Then read the two columns the list prints. A skywalk connection removes the December walk to the convention center. A $161 room and a $299 room sit 86 percent apart, so ask each property what its rate includes.
The Threshold
groupRooms publishes a group-rate threshold of 10 or more rooms per night on its own site, with some properties discounting from as few as five rooms by season and availability.
Submitting a request on the platform is free, and the hotels pay the commission. A group that books inside the official block holds the published rate protection.
