The American Dental Association holds its 2026 Scientific Session at the Indiana Convention Center from October 8 to October 10. The venue forecasts 4,000 attendees. The ADA publishes a program that runs Thursday morning through Saturday lunchtime, with registration opening on Wednesday afternoon.
Four thousand delegates at one room each is about 56 percent of the downtown Indianapolis room count. That ratio is the negotiating position. This piece works through the cutoff, the attrition clause, the deposit schedule and the release dates that a block of this size can move.
The published program
The ADA schedule runs Wednesday, October 7, with registration from 1 to 5 p.m. Thursday, October 8 opens registration at 7 a.m. and closes it at 6 p.m., with a general session from 7:45 to 9 a.m., the exhibit hall open 9 a.m. to 6 p.m., a happy hour from 5 to 6 p.m., and continuing education courses from 9:15 a.m. to 12:30 p.m. and 1:30 to 5 p.m. Friday, October 9 runs registration 7:30 a.m. to 5 p.m., the exhibit hall 9 a.m. to 5 p.m. and a Changemakers Celebration Reception from 5 to 6 p.m. Saturday, October 10 closes registration at 1:30 p.m. and the exhibit hall at 1:30 p.m.
October 8 is a Thursday, October 9 a Friday and October 10 a Saturday. A Thursday arrival with a Saturday release covers two nights. The Wednesday registration window is the published reason to add a third night.
The Association runs the session alongside the Indiana Dental Association Center for Excellence program, which fills Friday morning. The ADA House of Delegates meets October 10 to 13.
The weekend night inside the stay
Friday, October 9 is the weekend night in this pattern. Blocks, a room-block software vendor, states that peak nights carry earlier and stricter cutoffs than the shoulder nights flanking them. Ask each hotel what it sells on Friday without your group before you accept a cutoff.
The cutoff and the attrition clause
Blocks puts a common cutoff about 30 days before arrival, with a window of 21 to 30 days and cutoffs out to 45 days on peak nights. For an October 8 arrival that is early September. The cutoff and the attrition date are separate controls. A cutoff releases rooms. It does not reduce the room nights you committed to.
Test the attrition clause against a per-night reading. Work an illustrative block of 1,000 rooms on each of the two nights, which commits 2,000 room nights. An 80 percent floor sets the obligation at 1,600 room nights. Say pickup lands at 850 on Thursday and 700 on Friday, or 1,550 across the stay.
The aggregate test reads 50 room nights short of 1,600. A per-night floor of 800 reads 50 rooms of cushion on Thursday and 100 short on Friday, so per-night measurement exposes 100 room nights where the aggregate test exposes 50.
Ask for a floor measured cumulatively at arrival, damages set at the group rate less the hotel's saved variable cost and a credit for every released room the hotel resells. Blocks puts the saved-cost figure near 75 percent of the rate.
Release dates and the leverage 4,000 delegates buy
Downtown publishes 7,100 hotel rooms, and 4,700 of them connect to the Convention Center by skywalk. The groupRooms directory carries 273 hotels in Indianapolis. The FullScale Symposium runs at the same building on the same dates with a forecast of 1,000, which places two events and roughly 5,000 delegates on one weekend. Capacity against demand of that size is the argument for release terms in your favour.
Ask for rolling release with review dates at 90, 60 and 30 days. Each review is a chance to hand back rooms you can see you will not fill, and each hand-back lands while the hotel can still resell the inventory. Hold the resell credit as the price of cooperating.
Negotiate the deposit schedule in the same conversation. Ask for the master account routing stated in the contract, room and tax to master and incidentals to the guest, a defined payment window and the right to reconcile the final folio against your rooming list before payment falls due.
Splitting a block of this size
Visit Indy lists the JW Marriott Indianapolis at 1,005 sleeping rooms. A delegation of 4,000 therefore spreads across properties, and the split itself is a term to negotiate. Marriott IndyPlace groups five interconnected Marriott brand hotels offering 2,276 rooms under one point of contact. One contact across five buildings keeps one cutoff, one attrition clause and one deposit schedule for the largest slice of the block.
What the request should carry
groupRooms scopes a group booking at 10 or more rooms and sends one request to 50 or more qualified properties, which bid against each other rather than quoting a posted rate. The platform publishes no fee to the organizer, a 24-to-72-hour response window and 15 to 40 percent off rack rates as its own marketing claims.
