Bands of America Grand Nationals runs November 12 to 14, 2026 at Lucas Oil Stadium, 500 South Capitol Avenue, Indianapolis. November 12 is a Thursday, November 13 a Friday and November 14 a Saturday.
The venue page carries the stadium clock: the south parking lot opens at 6:00 a.m., the ticket office at 6:45 a.m. and the east gate at 7:00 a.m., with competition beginning at 7:00 a.m. The same page states that nearly 100 high school marching bands will come to Indianapolis.
The Room Count Comes Before the Hotel
No band is assigned a property until it has filed a Housing Preference Form. Music for All requires that form from every participating band, including bands staying at a school or driving in each day.
The form carries three inputs the bureau reads when it places a group: the number of rooms needed and the room type, which the policy splits into king rooms and double/double rooms; the length of stay in nights; and preferred amenities, with breakfast, parking and location named as examples.
Priority placement closed on May 15 at 11:59 p.m. EST. Rooming lists were not part of that submission, only the number of rooms the band anticipates needing. Music for All targeted completed assignments by August 1 and completion of the whole housing process by September 1.
A Bureau Because the Event Fills the City
Music for All publishes its own case for the single channel. It describes Grand Nationals as a large-scale, city-wide event that occupies almost half the inventory of suitable Indianapolis hotel accommodations, including more than half of downtown Indianapolis premium properties. It states that 2026 participants are filling guest rooms contracted as early as 2020, and it names multi-year commitments in Indianapolis through 2030. The same document states that operating the bureau provides direct financial support to the events and the organisation, and that its negotiated hotel rates include commissions from participating hotels.
Where a Large Band Gets Split
The number of rooms at any single property cannot always hold an entire group. Music for All states that as bands grow, splitting a group between two neighbouring hotels is becoming more common, especially in the suburbs where room availability is thinner. Larger groups may also be asked to be flexible on room types.
Two costs follow the geography. Every downtown hotel charges for parking, at full-service and select-service properties alike, and downtown properties cannot take buses. Suburban properties generally have room for buses at little or no extra cost. Music for All also states that there is no performance-flow advantage to a downtown hotel, and that the connector tunnel is not open as an entry point in Indianapolis.
The Booking Authorization Form
Placement ends with paperwork. Once a group and a hotel have been agreed, the bureau administrator, cmcglobal, sends the group a booking authorization form. A completed and returned form authorises the group to book rooms at that property on the group's behalf, and an email confirmation follows once the hotel is finalised. The 45-Day Rooming List and the 45-Day Cancellation Line
Music for All states that the final rooming list is due to the hotel 45 days before the arrival date, and that the bureau supplies the template. For a Thursday, November 12 arrival, 45 days out is Monday, September 28. Additions can be made at any point before the event while the hotel holds availability.
Cancellation runs on the same line. A group may cancel rooms at any time prior to 45 days from arrival, and reducing the block by more than 20 percent could incur a penalty. The policy adds that hotel policies vary by location and directs the group to its bureau administrator for the specific term. Cancelling an entire booking goes through cmcglobal, not the hotel. Cancelling a few rooms inside the block depends on the property, with 72 hours before arrival as the stated rule of thumb.
Why the One-Night Group Waits Longest
Music for All names the one-night group as the hardest to place, and states that a single-night stay may take more time to pair with other participants and with the organisation's own contractual obligations. One night is the hardest unit to slot into a block built around multi-night stays.
The published sequence rewards an early mover. After September 1, the bureau began releasing remaining unused contracted rooms for individual booking at the administrator's discretion. Released rooms do not return to the block at a group rate.
What to Settle in Writing
The bureau publishes the rooming-list deadline, the cancellation line and the 20 percent reduction trigger. It publishes no rate, no deposit schedule and no lead time for any property. The Housing Guide is the document that carries hotel options with price, location, amenities and availability, and the housing page states as of 23 September 2026 that the 2026 documents are being updated and will be available soon. The only published rate sheet in the housing set is the Johnson City partner list, which covers a different event site.
Room-block software vendor Blocks describes common practice on the terms the bureau leaves open. Blocks puts a typical cutoff about 30 days before arrival, flexing between 21 and 30 days and reaching 45 days on peak nights. It puts the common pickup floor at 80 percent, measured on a cumulative room-night basis, and prices an illustrative shortfall at the full room rate or at roughly 75 percent of it under a lost-profit clause. Those are the vendor's descriptions of common practice, and not the terms of any Indianapolis contract.
Ask the administrator for four things in writing: the cutoff date as a specific calendar date, whether pickup is measured per night or across the stay, whether any shortfall is billed at the full rate or at lost profit, and whether additions after the rooming list keep the group rate. groupRooms.org lists 273 properties in Indianapolis for comparison, and publishes savings of 15 to 40 percent off rack rates, no fees and a group scope of 10 or more rooms. Those are the platform's own figures. A placed band cannot book around the bureau, because Music for All states that bands violating the housing policy will not be permitted to perform and forfeit all enrollment fees.
