The Expo and Its Dates
Best Practices Expo & Conference runs October 13 to October 15, 2026 at the Indiana Convention Center, 100 South Capitol Ave, Indianapolis. The venue publishes a forecast of 1,200 attendees. The programme serves facility maintenance staff, plant engineers, energy managers and distributor sales engineers. It covers on-site industrial plant utilities: compressed air, nitrogen, HVAC and process cooling, and blower and vacuum systems.
The run is Tuesday to Thursday. A block built on those dates holds midweek nights. That fact sets the minimum hold, the cut-off date and the attrition clause.
Settle the Night Count First
A Tuesday arrival and a Thursday release hold October 13 and October 14, two nights. The brief behind this piece asks for three nights per delegate. Three nights needs one more night at one end of the stay.
Shape one: a Monday, October 12 arrival and a Thursday, October 15 release. That holds October 12, 13 and 14, and delegates are in house before the exhibit hall opens. Shape two: a Tuesday, October 13 arrival and a Friday, October 16 release. That holds October 13, 14 and 15, and covers the closing day with no morning checkout ahead of the last session. Ask the hotel to price both shapes separately.
The Minimum Hold for Companies That Send Small Booth Teams
An exhibiting company staffs its booth with the people it can spare. A two-person booth team needs two rooms. A five-person team needs five. A block minimum sized to the full delegation overshoots what a small booth team will sign.
Set the hold on the rooms the block can defend. Ask each property for its own minimum. Ask whether the minimum counts one night or the room nights across the stay.
groupRooms publishes its platform terms: bookings of 10 or more rooms, free to use, more than 50 hotels per request and a 24 to 72 hour response window. The platform reports 103,857 hotels and coverage across 46 states. Indianapolis carries 273 hotels in its directory.
The venue reports 7,100 hotel rooms downtown, 4,700 rooms connected to the Convention Center by skywalk, and 200 downtown restaurants within walking distance.
Fix the Cut-off
The cut-off is the date by which guests must book inside the block. Rooms unclaimed on that date return to the hotel's general inventory at the hotel's prevailing rates. The group keeps the commitment it signed.
The Blocks glossary puts the cut-off at 21 to 30 days before the event. Ask for one calendar date for the whole block. Ask whether any single night carries its own earlier date.

Write the Attrition Clause to a Midweek Stay
Attrition prices the shortfall between the committed room nights and the rooms the group picks up. The groupRooms guide puts the common floor at 80 to 90 percent of blocked room nights. The Blocks glossary states the penalty as the full room rate for each unused room night, and states that hotels calculate the shortfall per night.
The measurement basis decides the bill. Ask for the shortfall to be measured cumulatively across the stay, and put that basis in the contract in writing.
Build the floor from the nights the block can defend. The Blocks glossary describes a rolling schedule that releases part of the block at 90 days out and again at 60 days, and locks the remainder at 30 days. Ask for those review points. Ask what happens to a released room the hotel resells. Ask for a force majeure clause.
The same glossary describes the cancellation scale: 50 percent of anticipated room revenue at 90 days out, rising toward 100 percent inside 30 days.
Push on the Midweek Rate
The block holds no Friday or Saturday night. There is no weekend inventory to trade for a rate concession. The lever on this block is midweek volume: a Monday-to-Thursday or Tuesday-to-Friday run at 1,200 forecast attendees.
Ask for the midweek rate on the volume the block carries. Ask for the rate to be held flat across every night in the block.
Confirm the account that settles room and tax. Confirm who settles incidentals. Confirm the right to review the final master account before payment.
Questions to Put to the Hotel
What is the minimum hold for this block, and is it quoted per night or across the stay? What is the cut-off date, and does any single night carry its own? What is the attrition floor, and how is the shortfall measured? What are the rolling release review dates? What rate applies to a night added after the cut-off? What happens to a released room the hotel resells? What is the force majeure clause?
