The Cut-Off Date
The groupRooms glossary defines the cut-off date as the deadline for booking inside the block. After it, unclaimed rooms return to general inventory. Blocks puts a common cut-off at 21 to 30 days before arrival and shows a 45-day cut-off in its sample contract.
Work backward from Monday, October 12. A 30-day cut-off falls on September 12, and a 45-day cut-off falls on August 28. Confirm a calendar date, and confirm whether one date governs the whole block.
Missing the cut-off releases rooms and leaves the room-night commitment intact. A delegate who books after the date pays the hotel's prevailing rate, and the room stops counting toward the block. Chasing names before the cut-off is the cheapest work in the schedule.
Sizing Attrition to a Midweek Pattern
Attrition sets the minimum pickup as a share of the contracted room nights. Blocks states that a contract specifying 80 percent attrition obligates the group to pick up at least 80 percent of the blocked rooms, and bills the shortfall at the full room rate per unused room night. Blocks reads that calculation per night.
Run the group's own numbers before signing. A block of 100 rooms a night across four nights commits 400 room nights. At an 80 percent floor the obligation is 320 room nights, and at a 70 percent floor it is 280.
A midweek block spreads unevenly. Delegates arrive Monday for a Tuesday opening, and the last night thins as attendees leave early. Ask for a rolling release schedule with review dates at 90, 60 and 30 days. Blocks describes one rolling pattern that releases 20 percent of the block at 90 days and 10 percent at 60 days, then locks the remainder at 30 days.
Cancellation and the Master Account
Blocks states that cancellation penalties escalate on a sliding scale, with 50 percent of anticipated room revenue at 90 days out rising toward 100 percent inside 30 days. Ask for the schedule in writing.
Confirm that room and tax route to the group master account and that incidentals settle with each guest at departure. Confirm the right to review the final master account before payment.
The Minimum Hold for Exhibiting Teams
Exhibiting teams run smaller than the delegate body. A three-person booth crew needs two rooms, and a hotel can decline a contract that small. Ask each property for the smallest block it will hold, and ask whether its minimum counts rooms or room nights.
Where a property refuses a small block, combine the crews of several exhibitors into one request. groupRooms.org states group rates at a block of 10 or more rooms per night and pushes one request to 50 or more hotels at once. The platform publishes no fee to the planner and 15 to 40 percent off rack rates.
No Weekend Night in the Block
October 12 is a Monday and October 15 is a Thursday. The block holds no Friday or Saturday night, so the negotiation carries one lever less.
The shoulder carries the trade. A Sunday, October 11 arrival or a Friday, October 16 release reaches weekend demand, and the hotel prices those nights on its own terms. Ask for one rate across the four core nights, and treat any weekend uplift as its own line.
