The meeting
MAPP runs its Benchmarking and Best Practices Conference at the Indiana Convention Center from September 29 to October 1, 2026. The venue lists the Wabash Ballroom 1-3 as the meeting room and forecasts 650 attendees.
MAPP states its mission as enabling leaders within the plastics industry to achieve new levels of success. The attendee list is senior and the group is small.
A small block prices on its own terms
A 20-to-60-room block sits inside the group path at groupRooms.org, which builds its request process for bookings of 10 or more rooms. The block is large enough to leave the individual booking path and small enough to sit in one contract.
Ask each property how it prices a block that fills inside the final six weeks. Two other conferences run at the convention center across the same three days, the Association of Talent Development Core4 and OrgDev, so downtown inventory competes for those dates.
Downtown Indianapolis capacity
The convention center publishes 7,100 hotel rooms in downtown Indianapolis. It reports that more than half sit within blocks of the convention center and that 4,700 rooms connect to the building by skywalk.
The venue lists 200 downtown restaurants within walking distance and 15 minutes to the Indianapolis International Airport. The skywalk system locks down around 11:00 p.m. and reopens around 6:00 a.m., subject to the event schedule.
groupRooms.org lists 273 hotels in its Indianapolis directory. A 60-room block sits below the published downtown room count. Ask each property for the largest number of rooms it will hold on peak night across all three nights.
Ask each property for its plan for the Wabash Ballroom dates as well. The block and the meeting room belong in one negotiation.
Comp policy
Ask for the comp ratio in writing. The Blocks glossary, published by a commercial room-block software vendor, states the common structures as one complimentary room night per 40 picked-up room nights or one per 50, calculated on cumulative room nights across the block.
Three details set the value. First, whether comps accrue on cumulative room nights or per night. Second, whether unused comps convert to a credit against the master account. Third, whether comp rooms count against the group's own pickup for attrition. Ask for comp rooms excluded from the attrition measurement.
A 40-room block over three nights produces 120 room nights. At one comp per 40 paid room nights, the block earns three comp nights. Run that number against the pickup you expect.
The release date
Ask for review dates and a cutoff date. Review dates let the group release rooms above current pickup at named points before arrival. The Blocks guide sets its example at 120, 90 and 60 days before arrival, with penalty-free release of rooms above pickup and an adjusted block.
A late-filling conference wants the latest workable cutoff. The Blocks glossary defines the cutoff as the deadline for the final rooming list and puts cutoff dates at 21 to 30 days before the event. After the cutoff, unbooked rooms return to general inventory and the pickup commitment stays.
Pair the two. Release rooms you cannot fill at each review date and hold the remainder to the cutoff. With review dates, a block signed at 60 rooms can be measured at 40 on peak night.
The billing split
Executives pay for their own incidentals. Set the routing in the contract. The Blocks glossary describes the standard arrangement as room and tax to the master account, with incidentals billed to the individual guest.
Decide the deposit schedule at the same time. The glossary describes a deposit schedule as payments spread across milestones and notes that a missed deposit date can put the rate or the block itself at risk.
Attrition exposure
Ask for an attrition floor at 80 percent or below. The Blocks guide recommends that floor, measured at arrival on a cumulative room-night basis, with damages net of the hotel's saved variable cost and credit for resold rooms.
The glossary states that attrition is calculated per night, so a strong night carries no credit against a weak one. Measure the block night by night before signing.
