The festival runs from 20 to 28 September
The Brooklyn Book Festival is New York City's largest free literary festival, and its 2026 programme runs from September 20 to September 28. Virtual Festival Day opens the week on Sunday, September 20, from 12pm to 5pm. Bookend events take place from September 20 to September 28 at locations in all five boroughs. Children's Day runs at Brooklyn Borough Hall, 209 Joralemon Street, on Saturday, September 26, from 10am to 4pm. Festival Day and the Literary Marketplace close the week on Sunday, September 27, from 10am to 6pm at Brooklyn Borough Hall and the venues around it.
A book club, a school party or a library group travels on the final weekend. Children's Day falls on the Saturday and Festival Day on the Sunday. A group that attends both days needs two nights in Downtown Brooklyn. A group that attends Festival Day alone needs one.
A cluster of six to twenty rooms is a group block
A group block is contracted inventory. One agreement covers every room in it, and that agreement carries a group rate, a cut-off date and terms for returning or cancelling rooms.
Individual bookings carry their own terms. Each member books alone at the prevailing rate, on their own card, under their own cancellation terms. The hotel holds no inventory for the group and protects no rate.
Ask for a block when the dates are firm, the room count is close to final, and one person can sign for the group and fill the rooms by the cut-off date. Ask for individual bookings when the headcount is open or when every member pays their own way. For six to twenty rooms on a festival weekend, the block is the arrangement that holds the inventory.
What the contract needs to state
A small block contract names the room count, the room types, the nightly rate, the minimum-stay rule, the cut-off date, the deposit and the cancellation terms. Every one of those items is negotiable, and every one belongs in writing before the organiser quotes the trip to members.
Ask for a rate for each night of the stay. One average rate spreads a single number across nights that carry different demand, and the discount then lands on the nights the group does not need.
The cut-off date releases unsold rooms in the block back to general sale. Set it after the group knows its numbers. A late cut-off keeps the unsold rooms and their cost with the group. An early cut-off returns that risk to the hotel and sends members into open inventory.
Ask what minimum-stay rule applies to each night
A minimum-stay rule is a hotel condition that requires a set number of nights on a set date. Ask for the rule night by night, in writing, before the group books transport.
If the hotel applies a two-night minimum to the Saturday of the festival weekend, a one-night block does not fit it. An organiser who learns that after paying for a coach has no room to move.
The deposit a small organiser should expect to be asked for
A hotel that holds six to twenty rooms over a festival weekend asks for a deposit before it confirms the block. The form varies. It can be the first night's room and tax for each room in the block, a percentage of the total room revenue, or a credit-card authorisation held on the signing card. The amount is negotiable.
Ask five questions. Is the deposit charged per room or for the block as a whole? When is it due, and what is the deadline? Is it refundable, and up to what date? Is it applied to the final bill? What happens to it if the group returns rooms after the cut-off? Ask the same questions about cancellation, because cancelling a block and cancelling one room carry different costs.
Hold the rooms while the headcount settles
Three structures hold rooms before the numbers are final. A courtesy block allocates a small number of rooms with a short cut-off and no attrition. A first-refusal window holds rooms for a set number of days while the group confirms its dates. A two-phase contract firms a small block at signature and adds an option on more rooms, priced at signature and exercised by a stated date. Each structure carries a different exposure at the cut-off.
Anchor the group at Borough Hall
Festival Day runs across eight indoor and outdoor stages at Brooklyn Borough Hall, Brooklyn Law School, the Center for Brooklyn History, St. Ann & the Holy Trinity Church, Columbus Park and the Korean War Veteran's Park. All of them sit around Borough Hall in Downtown Brooklyn.
A property within walking distance of Borough Hall takes coach transfers out of the day. Ask the hotel for the walking distance to 209 Joralemon Street, and check it against a map before the group commits. The festival presents Festival Day, Virtual Festival Day and Children's Day free of charge, so lodging is the cost line the organiser controls.
Verify who is approaching the group
The festival publishes a scam alert. People posing as festival staff or representatives have targeted authors and publishers. Verify any approach through the festival's contact address, info@brooklynbookfestival.org, and hold room offers that claim a festival connection to the same test.
Checklist for the festival weekend
Confirm the dates: Children's Day on Saturday, September 26, and Festival Day on Sunday, September 27. Count the rooms and the nights. Ask for a block. Get the rate per night, the minimum-stay rule for each night, the cut-off date, the deposit terms and the cancellation terms in writing. Confirm the walking distance to Borough Hall. Keep one person on the contract with the hotel, and sign it only after the terms are in writing.
