Twenty Thousand Players and Families, One Weekend
The Central Zone Invitational runs January 23rd and 24th, 2027 at the Indiana Convention Center in Indianapolis. The venue's event listing places it in Exhibit Hall A-K and puts forecast attendance at 20,000. Capitol Sports Center and Circle City Volleyball host the event, with age divisions from 11s through 18s. January 23rd is a Saturday and January 24th a Sunday, so the tournament occupies one weekend and the room demand occupies two nights.
The Block Is Part of Registration
Capitol Sports Center runs its housing through the Tournament Advantage Program. The program is a condition of entry. The organiser states that all out-of-town teams must reserve rooms through the event's designated housing company, and that reservations made directly with a hotel do not count toward the participation requirement.
Families can call 1-800-476-0060 extension 118 or book through the Integrated Tournament Solutions event page. Both routes land in the same block, and each room must be attributed to the correct team.
The program publishes its own reason. It states that venues commit space based in part on the room nights an event can guarantee, and that without the commitment some venues would not be available or registration fees would rise.
Five Rooms and Sixty Miles
The ITS event page carries the requirement as a badge at the top of the listing: 5 rooms / 60 mi. That is the ratio the event holds each team to, and the radius inside which a team counts as local.
The program page explains how the radius works. A commuter exemption is automatic upon proof of distance to the venue. Military families may qualify with a valid government rate and appropriate identification, and bookings on qualifying loyalty points may qualify under standard verification. A full-team exemption needs advance approval from the Tournament Director. An individual exemption does not change the team's overall room block or its room ratio requirement.
Twelve Dollars a Reservation
The booking fee is $12 per reservation and non-refundable, whatever the length of stay. The program page names what it funds: platform development and maintenance, PCI-compliant credit card security, customer service and platform improvements.
The same page discloses a second revenue line. Depending on the event and the hotel agreement, the event may receive rebates or other partnership benefits based on the room nights the program generates.
The Block by Its Published Numbers
Housing opened Tuesday, September 1st, 2026 at 9 a.m. Eastern time. The portal lists 107 properties and advertises event hotel rates from $115 a night. An extra night on Friday, January 22nd can be added when the reservation is made, subject to availability.
A read of the portal on September 22nd, 2026 returned 198 room-type lines across those 107 properties. Of the 198, 196 showed no inventory left. The two entries that held rooms offered 30 rooms at $312 and 6 rooms at $583. The portal refreshes its availability continuously, so the count moves. Three weeks after housing opened, a block advertised from $115 a night has almost nothing left at the bottom of the range.
Registration runs on a separate clock. Registration opened September 15th at noon Eastern, the entry fee is $600, and entry fees are due by 1 November 2026. The organiser states that no refunds are given after 1 November or once a division fills.
The Forty-Eight Hour Rate Guarantee
The program publishes a rate guarantee. Under it the hotel is responsible for ensuring that the contracted group rate for the room types in the block is the lowest publicly available rate for comparable room types during the peak event dates.
The comparison excludes rates that require proof of membership or eligibility, which covers AAA, AARP, corporate, government, military and crew rates. Prepaid, non-refundable rates are excluded, along with room types the program does not treat as comparable.
If a lower publicly available rate is found, the program notifies the hotel. Under the hotel's contract the hotel then has 48 hours to remove the lower rate or reduce the rate for the entire group block to match it, so every family in the block benefits rather than only the person who found the lower rate.
The program page states its own limit. It does not control hotel pricing or the hotel's response, and it cannot guarantee the hotel's action beyond notifying the hotel and enforcing the agreement's terms.
No Cut-Off Date Is Published
The event page publishes no cut-off date, and a search of its text returns no booking deadline of any kind. What stands in its place is a cancellation rule. Changes or cancellations within 10 days of arrival may cost one night's room and tax. A no-show on the first night is charged one night plus tax and the remainder of the reservation is cancelled. Early departures may carry a penalty, and the hotel may pre-authorise the card or require a first-night deposit.
The program page says each event's room ratio, commuter distance, exemption process, booking deadline and cancellation policy sits in that event's registration materials. For the Central Zone Invitational the ratio and the distance are published and the deadline is not. The deadline becomes a question for the housing team: ask for the date unclaimed rooms return to general inventory, and whether that date is the same for every night of the stay.
Ask the Hotel These Questions
The minimum number of rooms a property will hold for a five-room team, and whether a club can combine teams onto one block. The cut-off date, and whether it applies per night or to the stay. The deposit. Check-in time, since the portal publishes 4:00 p.m. The age policy, because the portal requires guests to be 21 or older.
The portal also states that each room must carry a valid guest name and a credit card or it may be released, and that rooms not attributed to a team may be dropped.
Where groupRooms Fits
The Central Zone block is a closed arrangement with a published rate floor, and an open-market comparison helps a team whose dates flex. groupRooms lists 273 hotels in Indianapolis and puts one request in front of 50 or more. The platform advertises no fee to request rates, a 15 to 40 percent saving off rack rates, responses within 24 to 72 hours and a 10-rooms scope. Those are the platform's own published figures.
Use the block rate as the benchmark, and price the $12 per reservation fee into the difference.
