One property and one reservation link
The Indiana Green Expo runs February 8 to 10, 2027 at the Indiana Convention Center in Indianapolis. The organiser publishes those dates on its future and past expos page. The venue listing agrees and puts forecast attendance at 2,000.
The organiser names one headquarter property. The Westin Indianapolis at 241 W Washington St holds the IGE room block. The hotel page publishes one reservation link, and that link runs on the Passkey system.
The organiser states that staying inside the block matters to the success of the event and to each participating not-for-profit organisation. Two organisations stand behind the block. MRTF handles education and the programme. INLA handles exhibitors and sponsors.
The calendar leaves two nights
February 8, 2027 is a Monday. February 10 is a Wednesday. A Monday arrival and a Wednesday release is two nights inside the block, February 8 and February 9.
The expo pattern publishes no weekend night. Friday February 5 and Saturday February 6 sit outside the run, so the block offers the hotel no weekend inventory. A committee trading terms has two midweek nights and a Wednesday release.
The 2026 edition opened a night early. Exhibit setup ran Sunday February 8 and Monday February 9, 2026 across the run to Wednesday February 11. A Sunday, February 7, 2027 arrival repeats that shape. Ask the organiser whether the 2027 block opens on February 7.
The cut-off published today belongs to the last cycle
The hotel page carries the 2026 deadline: "Deadline EXTENDED! New cut off Date: January 23, 2026." No 2027 cut-off appears on the organiser's pages. Ask MRTF and INLA for the 2027 cut-off, the rate behind the block and the release date. A committee that waits for the page to change cannot date its rooming list.
Capacity behind the block
Downtown Indianapolis holds 7,100 hotel rooms. The convention center states that 4,700 of them connect to the building by skywalk, and that more than half of downtown's rooms sit within blocks of it. The organiser describes the Westin as the property across the street from the convention center.
The groupRooms directory lists The Westin Indianapolis at 241 West Washington Street among 273 Indianapolis properties. The platform publishes 103,857 hotels across 46 states, savings it puts at 15 to 40 percent, and no booking fee. Those platform figures are the operator's own and unaudited.
The rooming list and the two-night release
A two-night hold needs one rooming list inside the cut-off. Ask the hotel how many days before arrival it wants that list, whether it accepts name changes after the cut-off, and how it bills a no-show on a held room. Ask whether the block splits by arrival night or by total room nights.
Ask each organisation how the block allocates between the education audience and the trade show floor. The 2026 show ran education February 9 to 11 and the trade show February 10 to 11, with the floor in Hall D. Trade show hours were 9:30 a.m. to 5:00 p.m. on the first day and 9:00 a.m. to 1:00 p.m. on the second. Ask the organiser how the 2027 hours map onto a Monday-to-Wednesday run.
Registration terms to read early
The 2027 registration terms are unpublished. The 2026 page closed online registration on February 1 at 11:59 p.m. and moved attendees to on-site pricing. The same page states that fees for registrants who cannot attend become a donation to MRTF and INLA. Ask both organisations for the 2027 registration deadline and the cancellation position.
What the exhibitor contract adds to the block
The 2026 contract set the exhibitor arrival. Sunday, February 8, 2026 was an optional move-in for large booths and equipment, with limited forklift time. Tentative installation of exhibits ran on the Monday morning. Every exhibit had to stand assembled by Tuesday, February 10. Breakdown opened Wednesday, February 11 at 1:00 p.m. and had to finish by 7:00 p.m. the same day.
Exhibit setup ran from the Sunday, so a large booth had the Sunday night and the Monday night on site. A 2027 block built on a Monday arrival gives that booth one installation night. Ask the organiser whether February 7, 2027 carries an exhibitor move-in window.
A crew that finishes breakdown at 7:00 p.m. on the Wednesday wants a room that night. Ask the hotel to price February 7 and February 10 as separate add-on nights against the two-night core.
The exhibitor payment ladder
The 2026 contract put a 50 percent booth deposit on November 15 and the balance on January 7. Combination booths carried a December 15 balance date. One booth ran from $575 for an INLA or MRTF member economy booth to $1,075 for a non-member premium booth, and corner booths started at $875. Ask INLA and MRTF for the 2027 booth schedule and the dates that sit in front of the room cut-off.
Questions to put in writing
Ask the Westin to price February 7 to February 10, 2027 and February 8 to February 10, 2027 side by side, to name the attrition basis for each, and to confirm the cut-off. Ask for the room types behind the block rate and the peak room count the property will hold. Ask for the release date for unused rooms and the deposit schedule.
Ask MRTF and INLA for the 2027 cut-off, the allocation between the two audiences and the deadline that governs the rooming list. One written request should carry the block questions, the programme hours and the two arrival shapes.
