The Block in One Line
The 77th annual ISBA/IAPSS Fall Conference runs October 5 and 6, 2026 at the Indiana Convention Center, 100 S. Capitol Avenue, Indianapolis. The venue publishes a forecast attendance of 1,000. The Indiana School Boards Association and the Indiana Association of Public School Superintendents run the event jointly.
One Arrival, One Release
The programme opens Monday October 5 at 7:30 a.m. and closes Tuesday October 6 at noon, per IAPSS.
That schedule produces a two-night block. Delegates occupy rooms on Sunday October 4 and Monday October 5. The block needs no Tuesday night.
Plan around a single arrival night and a single release night. Districts send board members, superintendents and staff, and those delegations travel together from the same school corporation. Shared travel compresses the arrival window.
Confirm that pattern against the hotel's pickup history from the 2025 edition before you size the block.
Why the Pickup Curve Stays Flat
The block model treats the pickup curve as flat until district travel approvals clear. Those approvals sit inside each school corporation, and no published schedule governs them. Treat a ten-day window as an assumption to test with the hotel.
A flat curve carries a cost. Rooms held against a block that has not firmed up sit outside general sale. Hotels price that risk through cut-off dates and attrition terms. Ask how the hotel prices a curve that firms up late.
Set the Cut-off Where the Block Stops Paying
The cut-off date returns unsold rooms to general sale. Place it at the point where holding rooms costs more than releasing them.
Ask the hotel what it does with rooms released at the cut-off. Ask whether released rooms come back to the group at the contracted rate if the delegation firms up late. Ask whether the hotel will hold an overflow allowance past the cut-off, and at what rate. Ask what the attrition calculation looks like on a block that fills in its final three weeks.
The Sunday Shoulder Is the Real Negotiation
Sunday October 4 is the arrival night, which makes it the shoulder night of the block.
It is also the Gas Machinery Conference arrival night. That event runs October 4 through October 7 in the same building with a forecast attendance of 900.
Two conferences, roughly 1,900 forecast attendees between them, want the same Sunday evening.
Monday October 5 is a core night for both events. Tuesday October 6 is the ISBA/IAPSS release, and the Gas Machinery Conference rooms its delegates that night.
Ask the hotel for a Sunday-only rate and a Monday-only rate. Ask which of the two nights it would rather protect. Ask what the hotel will do if the district rooming lists land after the Sunday cut-off.
Inventory and Where It Sits
Downtown Indianapolis holds 7,100-plus hotel rooms. More than half sit within blocks of the convention center and Lucas Oil Stadium. Skywalks connect 4,700 of those rooms to the building. Two hundred downtown restaurants sit within walking distance, and the airport runs 15 minutes out.
The groupRooms Indianapolis directory lists 273 hotels and shows 24 per page. The clusters outside downtown cover Fishers at 21 hotels, Carmel at 15, Warren Park at 6, Speedway at 5, Homecroft at 3, and Meridian Hills, Zionsville and Clermont at 2 each. Those suburbs suit districts that drive to Indianapolis.
A 1,000-delegate block against 7,100 downtown rooms comes to roughly 14 percent of the market. Skywalk-connected properties cover 4,700 of those rooms.
A 1,000-attendee education conference needs connected inventory under one contract. Marriott IndyPlace connects six hotels beside the convention center and publishes more than 192,000 square feet of combined event space, per the complex's own site. It runs two points of contact. Visit Indy counts the collection at five interconnected hotels and 2,276 rooms.
Visit Indy publishes the JW Marriott Indianapolis at 1,005 guest rooms and 104,482 square feet of meeting space, and the hotel connects directly to the convention center. The IAPSS office sits at 1 N. Capitol Avenue, Suite 1215 in downtown Indianapolis, which keeps the organiser inside walking distance of the block.
Questions to Put to the Hotel
Ask for the pickup report from the 2025 edition. Ask which nights the hotel withholds from the block. Ask for Sunday October 4 priced apart from Monday October 5. Ask what the release terms are at 30, 21 and 14 days out. Ask how the hotel handles a rooming list that arrives after the cut-off. Ask what a two-night minimum does to the group rate.
Set the cut-off against the Sunday shoulder. Release what the delegation will not use before the hotel does it for you.
