A District Team Books as One Group
A school district that sends teachers to the NSTA National Conference on Science Education buys rooms the way any group does. The block starts at ten rooms, one person signs the contract, and the clauses that carry the money risk are the cut-off date and the attrition clause.
The conference runs November 4 to 7, 2026 at the Indiana Convention Center, 100 S Capitol Ave, Indianapolis, and the venue publishes a forecast attendance figure of 4,000 for the week. NSTA's conference site carries a justification letter and scholarship links for the approval packet a finance office asks to see.
The Official Housing Channel and Its Terms
NSTA routes every hotel reservation through IMN Solutions, the official housing provider. The housing page states that all reservation requests must be received by October 11, 2026 to guarantee availability and conference rates. After that date requests are handled on availability, and hotels may charge higher rates.
The deposit is a valid credit card guarantee covering one night's room and tax per room, and the page states the card is not charged at that stage. IMN Solutions sends an acknowledgement within 24 hours, and hotel confirmations arrive by email about two weeks before the convention.
Cancellations carry a published schedule. A reservation cancelled after Monday, February 9, 2026 draws a $50 processing fee per room reserved. A room cancelled less than 48 hours before arrival draws the $50 fee and a hotel penalty of one night's room and tax.

The Published Rate Table
NSTA publishes a room rate for 13 hotels in the official block. Tru By Hilton is lowest at $189 and JW Marriott highest at $279. The Indianapolis Marriott Downtown is headquarters at $269. The table runs: Holiday Inn Downtown $199, Hampton Inn $209, Hyatt Place $231, Fairfield Inn & Suites $239, Courtyard By Marriott $249, Springhill Suites $249, Omni Severin $249, The Westin $254, Hyatt Regency $259 and Embassy Suites $269.
NSTA states it will not provide shuttle service between conference hotels and the convention center. Walking distance therefore enters the choice, and the venue reports that 4,700 of downtown's rooms connect to the building by skywalk.
The Night Count to Settle First
November 4 is a Wednesday and November 7 is a Saturday. A Wednesday arrival with a Saturday release holds three nights: November 4, 5 and 6. A four-night run needs one more night at one end.
Two constructions build that fourth night. A Tuesday, November 3 arrival keeps the Saturday release. A Saturday night held inside the block releases Sunday, November 8. Ask each hotel to price both. A district commits weeknights long before it commits a weekend, so price the Saturday night before signing.
The Cut-Off Date and the District's Own Calendar
The cut-off date is the guests' deadline for booking inside the block, and the hotel releases unclaimed rooms to general inventory after it. Blocks, a room-block software vendor, defines the cut-off date as typically 21 to 30 days before the event.
A district runs its own approvals. Ask the hotel to place the cut-off after the travel approval date and after the purchase order issues, and ask for one cut-off date for the block.
Sizing Attrition to a Team
Attrition is the penalty for under-filling the block. Blocks states that a contract specifying 80 percent attrition obliges the group to pick up at least 80 percent of blocked rooms per night, and that the hotel calculates attrition per night. The penalty on the shortfall runs at the full room rate. The groupRooms article on attrition puts the common range at 80 to 90 percent of room nights.
Work the arithmetic per night. A 25-room block sets a floor of 20 rooms a night at 80 percent. A night that picks up 17 rooms leaves three rooms short, which at the $189 Tru By Hilton rate is $567 for that night. Three such nights run $1,701 across the stay.
Ask for a floor below 80 percent, for a review date at which the district can release unused rooms without penalty, and for a credit on rooms the hotel resells after release. Blocks describes a rolling attrition structure that releases rooms in stages, with release points at 90, 60 and 30 days.
Questions to Put to Each Property
Ask for the minimum hold the hotel will write, because no published source states a per-property minimum block size. Ask whether the rate covers the nights either side of the conference, because a district team may arrive a day early. Ask whether the rate extends to teachers who book after the district cut-off.
Blocks describes cancellation penalties as escalating on a sliding scale, with its own example at 50 percent of anticipated room revenue for a cancellation 90 days out, rising toward 100 percent inside 30 days. Its master account entry describes a common setup that routes room and tax to the master bill while incidentals stay on each guest's card.
Where the Rooms Are
Downtown Indianapolis holds 7,100 hotel rooms, and the venue reports that more than half sit within blocks of the convention center and Lucas Oil Stadium. The skywalk locks down at approximately 11 p.m. and reopens at approximately 6 a.m., and the venue states those times are event-dependent.
