One Event, Two Nights
Victory Athletics Spirit runs the Checkered Flag Championship on Saturday, January 9, 2027 at the Indiana Convention Center in Indianapolis. The venue lists the event in Exhibit Hall A with a forecast attendance of 450. The organiser's own page carries the same date and points teams to registration.
The venue feed lists a second event on the same date, the Whitetail Film Tour in Wabash Ballroom 1-2 with a forecast of 300.
One Team, One Block
A cheer and dance championship gathers many small groups. Each team travels with its own roster, its own coaches and its own parent group. Each team carries its own budget.
Build the housing as one master contract with a named sub-block per team. Ask the hotel which sub-block it measures for attrition. Ask whether each sub-block carries its own cutoff.
The Organiser's Paperwork
Victory Athletics Spirit publishes its competition requirements, and those rules shape the rooming list. The roster, division, level and scoresheet, the paid invoices, the music licences and the signed waivers must all sit in regchamp.com before the event. Paper copies are not accepted at the event. Every coach must present government-issued identification at coaches' check-in, and a coach band is issued only against an approved background check whose name matches the RegChamp record.
The organiser publishes its avoidable fees. A $125 late fee applies from the tenth day before the event, which falls on December 30, 2026. A second $125 fee applies to a payment taken on the Friday or the Saturday, the day before or the day of the event. Two coaches are free per team, and each additional coach costs $25. A $100 change fee applies to a division, level or scoresheet change requested after the first preliminary schedule is released, eight days before the event.
Those fees attach to registration. The organiser publishes no housing term on those pages.
Two Nights on the Calendar
January 8, 2027 is a Friday. January 9 is a Saturday. A Friday arrival with a Sunday, January 10 release holds two nights. The competition runs on the Saturday. The Friday carries the travel-in group and the early arrivals.
The Cutoff and the Schedule Release
The organiser releases the first preliminary schedule eight days before the event. That date is January 1, 2027. Teams learn their performance times then, and the $100 change window opens with it.
No hotel cutoff for this event is published. Blocks Travel's room-block glossary states that cutoff dates typically fall 21 to 30 days before the event, and defines the cutoff as the deadline for the final rooming list.
A 30-day cutoff ahead of a Friday, January 8 arrival lands on December 9, 2026. That date sits more than three weeks before the schedule release. Ask the hotel for a cutoff on or after January 1, 2027, so each team can name its rooms after it learns its call time. A rolling release is the second option to price.
Attrition Across Two Nights
An attrition clause sets a floor under contracted room nights. The glossary's attrition entry uses an 80% clause as its example: the group must pick up at least 80% of the blocked rooms or pay a penalty on the shortfall, typically the full room rate for each unused room night. The same entry states that attrition is calculated per night.
Work that method across the two nights. Take 60 rooms on each night. The block commits 120 room nights. An 80% floor sets the obligation at 96 room nights. A pickup of 50 rooms on the Friday and 40 on the Saturday reaches 90 room nights. The block reads six room nights short.
Split the same pickup by night. A per-night floor of 48 rooms reads two rooms of cushion on the Friday and eight rooms short on the Saturday. The per-night test exposes eight rooms where the aggregate test exposed six.
Ask which measurement the hotel applies. Ask for the answer in writing.
Who Signs, and How Many Staff Rooms
A team block reaches the hotel through a coach or a club officer. The organiser requires every coach to be listed on the event in regchamp.com. Ask the hotel whether it will contract one master block with the club or one block per team.
The coach count sets the staff rooms. The organiser allows two coaches free per team and charges $25 for each coach after that. Use that published rule to size the staff allocation team by team.
Supply and Placement
The venue reports 7,100 hotel rooms in downtown Indianapolis and 4,700 of them connected to the Convention Center by skywalk. It reports 200 downtown restaurants within walking distance and 15 minutes to the Indianapolis International Airport.

The platform states that it carries 103,857+ hotels across 46 states, that submitting a request costs nothing, that hotels respond in 24 to 72 hours, and that one request reaches 50 or more hotels. Those are the platform's own published claims.
What to Put in the Request
Name the two nights, the number of teams and the rooms per team. State the coach count from the organiser's own rule. State the arrival window on the Friday and the release time on the Sunday.
Ask for the block rate, the minimum hold, the cutoff date, the attrition floor, the measurement basis for that floor, the deposit schedule and the cancellation ladder. Ask for the room tax and any mandatory fee by name. Ask how the hotel handles a team that withdraws after the schedule release.
