A Chapter Block Is a Group Booking
The Society of Hispanic Professional Engineers brings its 2026 National Convention to the Indiana Convention Center on October 28 to 31. The venue forecasts 15,000 attendees. A university chapter that travels as a delegation books the way any other group does, and the clauses that carry the money risk are the cut-off date and the attrition clause.
The organiser's registration site reports 10,000 attendees, 346 exhibitors and 763 interview booths for the 2025 edition.
What Registration Already Says
SHPE prices advisor places on their own ladder. Early bird closed on September 9 at 5 p.m. ET at $150. Regular registration closes on October 7 at 5 p.m. ET at $300. Late registration runs October 8 to October 31 at 12 p.m. ET at $475. Student places run $345, $470 and $625 across the three windows, and professional places run $480, $600 and $760.
Bulk submissions close on October 1 at 5 p.m. ET. A chapter that uses bulk registration states its commitment before the hotel needs a rooming list.
The Night Count to Settle First
October 28 is a Wednesday and October 31 is a Saturday. A Wednesday arrival with a Saturday release holds three nights. A four-night stay needs one more night at one end.
Two constructions build that fourth night. A Tuesday, October 27 arrival keeps the Saturday release. A Saturday night held inside the block releases on Sunday, November 1. Ask the hotel to price both, plus the three-night base. The Saturday night is the one to confirm first, because it is the last night of the convention.
The week sits in the tail of the building's fall run. The venue calendar lists the National FFA Convention & Expo on October 21 to 24 and a State Board of Law Admission ceremony on October 26 ahead of it. The Midwest Healthcare Engineering Conference runs November 8 to 10 behind it.
The Cut-Off Date
The cut-off is the date by which delegates must book inside the block. Rooms left unclaimed after that date return to general sale. Blocks, a room-block software vendor, publishes 21 to 30 days before the event as the window for cut-off dates.
For a block that opens October 28, a 21-day cut-off falls on October 7 and a 30-day cut-off falls on September 28. A chapter that collects names late should ask for the later end of that window and for a single cut-off date covering the whole stay.
Sizing the Attrition Clause
Attrition charges the chapter when the block under-delivers. The vendor's glossary describes an 80 percent clause as an obligation to pick up at least 80 percent of blocked rooms per night. It states the penalty on the shortfall is typically the full room rate for each unused room night. The same glossary measures attrition per night.
A 40-room block over three nights blocks 120 room nights. An 80 percent floor sets the obligation at 96 room nights. Measured per night, a chapter that fills 30 of 40 rooms on the Saturday night owes on 10 rooms for that night alone.
Three requests reduce the exposure. A floor below 80 percent. Review dates at 90, 60 and 30 days where the chapter can hand rooms back. A credit for rooms the hotel resells after release.
What to Put in Writing
Ask each property for its minimum hold. The groupRooms FAQ states most hotels offer group rates from 10 rooms a night, and some quote discounts from five rooms depending on season and availability.
Ask whether the rate extends to parents, alumni and faculty who travel outside the chapter list. Ask how the deposit is handled and when the card is charged. Ask for master-account routing on room and tax, with incidentals settled by each guest.
The vendor's cancellation example escalates from 50 percent of anticipated room revenue at 90 days out toward 100 percent inside 30 days.
Where the Rooms Are
Downtown Indianapolis holds 7,100 hotel rooms, and more than half sit within blocks of the Convention Center and Lucas Oil Stadium. Another 4,700 rooms connect to the building by skywalk.
