One Saturday, Two Hundred Booth Spaces
The ABC Health & Fitness Expo runs Saturday, October 10, 2026 at the Indiana Convention Center. The venue lists the show in Exhibit Hall A with doors open 10 a.m. to 8 p.m. and a forecast attendance of 2,000.
The organizer's page states the show carries 200 vendor spaces and that more than 60 businesses were waiting for the vendor form to open. Every one of those vendors needs a room for one night.
One Night Carries the Commitment
A vendor crew loads in Friday evening or early Saturday, works one day, and tears down before Sunday. One night covers the show.
That night lands on a Saturday. Downtown Indianapolis holds 7,100 hotel rooms, and 4,700 of them connect to the Convention Center through skywalks, per the venue's attendee pages. A connected room takes the parking question off a one-day schedule.
The Minimum Hold
Group rates are negotiated rates for blocks of 10 or more rooms, as the groupRooms glossary defines them. Ask three questions of each property. How few rooms will you hold on a group contract? Does the minimum count rooms or room nights? Does a one-night Saturday block qualify for the group rate at all?
A team of four to eight people can sit below a property's floor on a Saturday. Combine the request with neighbouring exhibitors, or take the published rate.
The Cut-Off Date
The glossary defines the cut-off date as the deadline for booking inside the block. After it, the hotel returns unclaimed rooms to general inventory.
Blocks puts a common cut-off at 21 to 30 days before arrival and shows a 45-day cut-off in its sample contract. Work backward from Saturday, October 10. A 30-day cut-off falls on September 10, and a 45-day cut-off falls on August 26. Ask for a calendar date, and ask whether one date governs the whole block.
Missing the cut-off releases the rooms and leaves the room-night commitment intact. A vendor who books after the date pays the hotel's prevailing rate, and the room drops out of the block count.
Sizing Attrition to One Night
Attrition sets the minimum pickup as a share of the contracted room nights. Blocks states that a contract specifying 80 percent attrition obligates the group to pick up at least 80 percent of the blocked rooms, and bills the shortfall at the full room rate per unused room night. Blocks reads that calculation per night.
A block that carries one night has one night to measure. Confirm in writing whether the hotel reads the floor per night or cumulatively across the stay.
Two protections pay on a short block. Ask for a resell credit, so rooms the hotel resells reduce the shortfall. Ask for a release date ahead of the cut-off, so the crew can hand back rooms while the hotel can still sell them.
Run the numbers on the block you hold. A 20-room block at an 80 percent floor sets a minimum of 16 room nights. A pickup of 13 leaves three room nights short, and at the full group rate the bill runs three times the rate.
Cancellation and the Master Account
Blocks states that cancellation penalties escalate on a sliding scale, with 50 percent of anticipated room revenue at 90 days out rising toward 100 percent inside 30 days. Ask for the schedule in writing, and ask what a partial release costs at each tier.
Two administrative lines matter to a crew. Confirm that room and tax route to the group master account and that incidentals settle with each guest at departure. Confirm the right to review the final master account before payment.
Confirm the Saturday First
Confirm the Saturday night before the other lines. Blocks defines peak nights as the dates that fill first, command the higher rates and carry the earlier and stricter cut-offs. A Saturday in October is that night here.
Pin the rate, the cut-off date and the release date in writing. Add the Friday or Sunday night later at the group rate, and treat any weekend uplift as its own line.
