Three nights on the calendar, four in the brief
The WWETT Show runs February 22 through February 25, 2027 at the Indiana Convention Center in Indianapolis. The organiser publishes a conference across all four days. The expo hall opens Tuesday, February 23 and closes Thursday, February 25 at 1:00pm.
A Monday arrival and a Thursday release put a delegate in a room for three nights. The block brief for this event asks a hotel to hold four midweek nights. The two figures disagree, and the gap is arithmetic.
Two builds produce a fourth night. The first is a Sunday, February 21 arrival. The conference opens at 9:00am Monday, so a delegate who attends the opening session sleeps in Indianapolis on Sunday night. The second is a Friday, February 26 release. The expo hall closes Thursday at 1:00pm and the conference closes Thursday at 11:00am, so a Thursday night serves the traveller who goes home Friday.
Ask the hotel to price both builds as separate lines. The difference between those two prices is the first number a planner needs.
The published hours decide the last room night
The organiser publishes the 2027 expo hall hours. Tuesday, February 23 runs 9:00am to 5:00pm. Wednesday, February 24 runs 9:00am to 5:00pm. Thursday, February 25 runs 9:00am to 1:00pm.
The conference hours run on their own clock. Monday, February 22 runs 9:00am to 5:30pm. Tuesday runs 10:30am to 5:00pm. Wednesday runs 8:30am to 4:00pm. Thursday runs 8:30am to 11:00am.
Those hours set the attrition problem. A delegate who works the expo floor needs rooms for Monday, Tuesday and Wednesday nights. Thursday night does not appear on that schedule. A delegate who attends Monday morning needs Sunday night too. Size the attrition clause against the nights the delegate occupies, and settle the night count before the clause enters the contract.
What onPeak publishes for the block
The organiser names onPeak as the sole endorsed housing provider and states that onPeak is the only official hotel agent for the show in Indianapolis. The company was formerly Travel Planners. The same page warns that other agencies have presented themselves as booking agents for the show, and that reservations made through them cannot be guaranteed.
The attendee booking portal lists 23 downtown properties for the show dates, each with an average nightly rate. The band runs from $169 at the Holiday Inn Express Indianapolis Downtown-Convention Center to $270 at the Conrad Indianapolis. Read on the portal on 22 September 2026, the middle of the band carries the Courtyard by Marriott Indianapolis Downtown and the SpringHill Suites at $226, the Westin Indianapolis at $242, the Hyatt Regency at $243 and the JW Marriott at $260.
The portal prints a distance for each property and shows how much inventory it holds on each offer. Ask for both lines on the confirmation rather than relying on the gallery view.
The organiser publishes a benefits list for the channel. It names no upfront costs, cancellation and change flexibility, support before and after the event, and group reservation tools for managing hotel reservations. The organiser also states that negotiated rates typically average 30 percent less than rates on other travel sites. Treat that as the organiser's own marketing figure. It is unaudited, and it arrives without a property list or a date range.
What the venue publishes about capacity
The Indiana Convention Center publishes its own downtown figures. More than half of downtown's 7,100 hotel rooms sit within blocks of the convention center and Lucas Oil Stadium. Of those, 4,700 rooms connect to the convention center by skywalk. The convention center address is 100 South Capitol Ave.
The venue page carries a forecast attendance of 14,000. The organiser's own page describes 14,000-plus professionals, 550-plus suppliers, 20-plus industries and 44-plus countries represented. Carry both figures with their publishers, and ask the hotel which one the block is sized on.
A 14,000-attendee room demand against 4,700 skywalk-connected rooms is the tightest part of this block. Walkability and the skywalk connection matter more than a lower rate at a property outside downtown.
Two booking routes sit inside the channel, one for attendees and one for exhibitors. Ask onPeak which route a group request takes, and who holds the master reservation on each. A group that books through the attendee route and a group that books through the exhibitor route may end up with different cancellation terms on the same rooms.
Lead time on a February show
This block is being written in September 2026 for a February 2027 show, five months out. The organiser's own travel page pushes registration and hotel booking through the same window, and states that no upfront cost applies to a booking. That combination moves demand forward early.
Early demand is the reason to nail the minimum hold now. Ask the hotel for the minimum number of room nights it will hold, the date that minimum expires, and whether the hold can be reduced without triggering attrition.
The organiser publishes no exhibitor move-in or move-out window on the pages read for this piece. Exhibitor move-in sets the dates for the supplier block and the labour that travels with it. Ask the organiser for those windows in writing rather than inferring them from the expo hall hours.
Five questions to put in writing
1. Does the hotel hold three nights or four, and what does each build cost?
2. What is the cut-off date for the block?
3. What attrition percentage applies, and does it apply to a three-night or a four-night shape?
4. Can the Sunday night be added for part of the delegation without lifting the minimum for the whole group?
5. Is the property rate inside the onPeak band, and does the hotel accept a direct group request alongside the portal?
Registration and the block move in the same window, and the portal band is the reference point for every one of those answers.
